Job Descriptions

Intake Coordinator

FLSA Status:
Non-Exempt
Duties and Responsibilities include the following. Other duties may be assigned.
  1. Responsible for taking call center telephone calls at required times as scheduled, and acts as backup if needed.*
  2. Makes appointments for consultants to perform in-services.*
  3. Builds relationships with treatment center's staff, professionals, and referral sources to keep avenues of communication open for inbound clients' patients.*
  4. Responsible for being knowledgeable of any and all services the company provides in order to be able to best serve all client needs.*
  5. Acts as pleasant and as understanding as possible when handling all telephone calls, whether talking with a potential client, family member of client, or professional referral source.*
  6. Asks where or how the caller received company's phone number and documents information in SalesForce, including name, home address, date of birth, social security number, insurance information, SA/MH issues, DOLU and past treatment history, and legal issues.*
  7. Ensures client understands level of care that will be provided, and helps client research other options and the difference between those options and the company's services if necessary.*
  8. Reviews cost and reviews private payment options with clients who do not have insurance or who have insurance that is not accepted by the treatment centers.*
  9. Explains the difference between in and out of network and the difference in the level of care.*
  10. Assists client with finding other options via SAMSHA or other treatment centers out of the network when a financial agreement cannot be reached.*
  11. Assists client with travel plans, including locating flights, and provides physical descriptions of clients for pick up.
  12. Sends information to supervisor and notifies consultant.*
  13. Follows up with client's family members or referral sources, and documents all follow-up telephone calls and emails in call notes so that all call center staff is updated on the current status of the situation.*
  14. Notifies Case Management Department of any and all admissions or AMA, or family members that call in and would like updates on a client.*
  15. Exercises professionalism in the use of personal experiences during the intake process to put a client or family member at ease and provide them with hope, and reminds them that they are there to help.*
  16. Answers every phone call, even when working a shift alone, and if on another call, apologizes and places call on hold, then answers other line and asks for name and phone number to call back.*
  17. Responds to email leads and makes cold calls in a timely fashion.*
  18. Documents all leads for halfway housing or Tricare insurance in SalesForce immediately and promptly responds to referral source, and copies in supervisor on email.*
  19. Submits original receipts for monthly expenses by mail to arrive at corporate no later than the first of the new month.*
  20. Handles any and all responsibilities given and reports any problems with coworkers, workload, or treatment center to direct supervisor.*

Treatment Consultant

Summary:
Markets drug and alcohol rehabilitation services to professionals throughout the US. Receives patient referrals from professionals in his/her respective territory. Places patient referrals in one of TSN's facilities around the country by performing the following duties.
Duties and Responsibilities include the following. Other duties may be assigned.
  1. Markets TSN facilities to professionals in an effective manner.*
  2. Returns telephone calls and answers emails concerning TSN business as soon as possible.*
  3. Attends all scheduled meetings and conference calls.*
  4. Learns and familiarizes him/herself with all daily working procedures, including: knowledge of facilities; knowledge of services provided by TSN and their network; use of Blackberry; use of computer; submitting referrals; and coordinating admissions with referral sources and family members.*
  5. Develops working relationships with any and all professionals who have the ability to refer patients to TSN services, including EAPs, private counselors, case workers, discharge planners, doctors, psychiatrists, psychologists, nurses, DUI attorneys, union/labor stewards, pastors/clergy, and local governments.*
  6. Conducts quality presentations for agencies, hospital staff, discharge planners, and other groups as they are identified.*
  7. Conducts at least five to seven quality presentations per month.*
  8. Makes at least five contacts per day, with a minimum of three being new contacts.*
  9. Consults and networks with other TSN consultants and employees in a professional way to enhance and improve the TSN work environment and learn different techniques, strategies, and approaches.*
  10. Dresses professionally at all times, as dictated by customer/referral source and TSN.*
  11. Submits weekly consultant activity form outlining weekly visits by midnight on Sunday.*
  12. Adheres to all expense limitations and guidelines.*
  13. Submits monthly expenses via email no later than the 25th of each month.*
  14. Submits original receipts for monthly expenses by mail to arrive at corporate no later than the first of the new month.*
  15. Works evenings and weekends as needed.*
  16. Engages in occasional overnight travel as needed.*
